Customer onboarding runs on spreadsheets and a script nobody dares change. Replace it safely.
Representative engagement A typical project of this kind, drawn from how our team works. Figures are deliberately not claimed; ask us for a reference call instead.
The situation
New customers are onboarded through a spreadsheet, a half-automated script and a lot of copy-paste between systems. It works until it doesn't: a missed field, a duplicate record, a compliance check skipped because someone was out that day. Errors surface late, get fixed by people, and cost hours each time. The firm wants it replaced, but the last attempt stalled because nobody wrote down what the process actually was.
What we do
- Write the spec with the operations lead, step by step, including the exceptions they handle by hand.
- Build the onboarding system with full test coverage, including every exception path in the spec.
- Run it alongside the spreadsheet process for several cycles and compare outputs; nothing is switched off until both agree.
- Cut over on a date the operations lead picks, with the old process kept available for a fallback period.
- Hand over documentation and runbooks, and a 30-day warranty on the delivered scope.
